Privacy Notice

This notice explains what the Asahi Arcade console collects about you, why, who can see it, and what you can ask us to do with it. It covers studio members who sign in, and people who apply to join through the console.

Who we are

The console is run by Asahi Arcade ("we", "us"). Questions or requests about your data: contact a member of the executive team.

Asahi Arcade is not affiliated with Roblox Corporation. Roblox's own handling of your Roblox account is covered by the Roblox Privacy Policy.

What we collect

When you sign in with Roblox. Your Roblox user ID, username, display name and avatar picture. This is all Roblox shares with us (the "openid" and "profile" permissions). We never see your Roblox password. We also read your rank in the AsahiArcade Roblox group when you sign in, and again at least once an hour, because your rank decides what you can do.

While you use the console.

  • When you signed in, and when access was refused (the access log).
  • Actions you take, such as publishing an event, approving a payout or changing a role (the audit log).
  • When you were last active and the last page you opened.
  • The console does not store your IP address or browser details.

When you set up your account.

  • Your time zone and availability.
  • Your Discord ID and username, if you link Discord.
  • Your payout method and payout details, if you add them. Payout details are encrypted.
  • Which version of each studio document you agreed to, when, and the username you typed to sign.
  • Your notification settings.

Studio work. Records of your work in the studio: your team profile and skills, tasks, bug reports, QA assignments, pay rates, pay requests and payouts.

When you apply to join. Your Roblox username (we look it up with Roblox and keep your user ID, username and display name), your Discord username, your portfolio link, your answers, and the decision on your application. Your IP address is used briefly, in memory only, to stop spam. It is not stored.

In your browser. A sign-in cookie that keeps you signed in for up to 7 days, and your light or dark theme choice. We don't use advertising or tracking cookies.

Why we use it

  • To sign you in and give you the access your rank allows.
  • To run the studio: assigning and tracking work, paying you, and contacting you on Discord.
  • To keep the console secure and look into problems (the access and audit logs).
  • To review applications and, if you're accepted, set your rank in the AsahiArcade group.

We don't sell your information, and we don't use it for advertising.

Who can see it

  • Inside the studio: members see what their role needs. For example, your lead sees your tasks. Admins can see everything, including payout details.
  • Roblox: when you're accepted or your rank changes, we update your rank in the AsahiArcade group through Roblox.
  • Discord: if you link Discord, our bot uses your Discord ID to send you notifications and set your server roles.
  • Services that run the console: Vercel (hosting), Supabase (database and file storage, in the EU) and Railway (our Discord bot). They store or process data only to run the console for us. Our hosting provider may keep standard request logs, which include IP addresses, for a short time.

How long we keep it

  • Your account and work records: while you're in the studio. After you leave, we keep what we need for studio records, such as payments and the work you were credited for, and delete the rest when you ask.
  • Applications: until a decision is made and for a reasonable time after it. Ask us at any time to delete yours.
  • Access and audit logs: kept as security records.

Your choices

  • Change your time zone, availability, payout details and notification settings, and link or unlink Discord, from your profile at any time.
  • Ask us for a copy of your information, to correct it, or to delete it. Contact a member of the executive team. We may need to keep some records, such as payments.
  • Depending on where you live, you may have more rights over your data, and the right to complain to your local data protection authority.

Children

Many people on Roblox are under 18. If you're under 18, or under the age of adulthood where you live, a parent or guardian should read this notice with you. If you're under 13, a parent or guardian must agree before you add payout details or link Discord.

Changes

When this notice changes, the new version is published here and in the console, and members are asked to read it again.
